Reviewing Schedules
Sending a Bill of Quantities or an I/O list round the disciplines the way you send a drawing: on a pinned revision that does not change under the reviewers, with comments on individual rows, row-by-row sign-off at each step, and a signed-off revision you can issue on a transmittal.
What gets reviewed
A schedule is derived from the drawing, so it keeps changing while the drawing does. A review therefore never looks at the live schedule. It looks at a pinned revision: a copy of the schedule's rows taken at one moment, numbered R1, R2, R3 … per schedule. A pinned revision cannot be edited or deleted. It records:
- every row and column, exactly as they were;
- the drawing's save number at that moment;
- who pinned it and when;
- a fingerprint (a hash) of the rows, which is how ErgoPlanner tells whether the live schedule has moved on.
Two schedules can be reviewed:
| Schedule | Where you start | One row is… |
|---|---|---|
| Bill of Quantities | The BoQ page (Bill of Materials → open a BoQ) | A line. A line drawn from an element or a pipe keeps that element's or pipe's identity. |
| I/O list | Draw → Tools → I/O list | An I/O point: the instrument (or driven equipment), its I/O type and its tag. |
Step 1 — Snapshot or start a review
Both screens have the same three actions in their toolbar:
| Action | What it does |
|---|---|
| Snapshot | Pins the schedule now and opens the revision. If nothing has changed since the latest revision, you get that revision back rather than a duplicate. |
| Start review | Pins a fresh revision and starts a workflow on it. Choose the workflow (the Discipline review is offered first) and, if the first step has a discipline pool with several people, who takes it. |
| Revisions | Lists every revision of this schedule; choose one to open its review view. |
On the I/O list, the Include motor points for driven equipment switch applies to the revision too: a revision pinned with motor points is compared with the live list with motor points.
Only one review can run on a schedule at a time. Finish (or cancel) the running one first.
The workflow runs on the schedule exactly as it does on a drawing: each step's pool comes from the members of the schedule's project who hold that discipline, you choose who gets the next step when you approve, and you can return work to an earlier discipline. See Discipline-to-Discipline Review.
Step 2 — Read the pinned rows
The review view shows the revision's rows, its revision label and whether it is under review.
If the live schedule has changed since the revision was pinned, a yellow banner says so and gives the live row count. The review carries on against the pinned rows. To review the changes, snapshot again or start a new review once this one is finished. The banner compares fingerprints, not dates: a schedule that was edited and then put back the way it was does not raise it.
Step 3 — Comment on a row
Each row has a comment button with the number of threads on it, highlighted when any are still open. Select it to open the row's threads beside the table, then:
- raise a new thread on the row (with @mentions and an assignee, as on a drawing);
- reply to a thread, mark it answered, resolve it, or close it with a note — the same five-state lifecycle as drawing comments (Running a Design Review).
A thread raised while a review is running is linked to the step it was raised on. Schedule comments do not appear on the drawing's sheets.
Step 4 — Sign off rows
Whoever holds the current step can sign off rows: the step's assignee or, for a step open to its pool, any member of the pool. A workflow admin can also sign off.
- Tick the rows you have checked and choose Sign off selected, or choose Sign off all.
- Each sign-off records who signed, when, and at which step. The Signed off column shows every step a row has been signed at.
- A row is signed at most once per step; signing it again does nothing.
Step 5 — Approve the step
Choose Review step to approve, reject or return the step, as on a drawing. If some rows are not signed off at the step, the view warns you before you approve, and the approval is recorded with a warning naming how many rows were unsigned. Unsigned rows never block an approval: the decision is the reviewer's.
When the last step is approved, the review is complete and the revision is signed off.
Step 6 — Issue the revision
A signed-off revision can be added to a transmittal as a Schedule revision item. The transmittal pins that revision: the package contains an Excel file built from the revision's own rows, with its revision label and fingerprint, even if the live schedule has changed since. A revision that is still under review, or a snapshot that was never reviewed, cannot be issued. See Issuing a Drawing for building and sending the transmittal.
